Works closely with General Manager to develop and implement Sales Action plan as well as assists with other supervisory duties such as employee training and reviews. Also actively manages and assumes responsibility for the Western sales territory.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Overall Duties:
Develops, updates, and reports weekly group sales pace, revenue, and room night figures.
All complimentary rooms and or amenities are to be arranged through proper channels.
Follows all contracting guidelines according to Sundance standards.
Adheres to resort deposit and cancellation policies and collection.
Codes all receipts up to $1,000 for the sales department.
Processes and ensures prompt payment of all third party representation firms monthly retainer fees.
Maintains expense account reporting consistent to Sundance standards and submits in a timely manner.
Use experience and product knowledge to act as a mentor to other Sales Staff.
Provide useful training during weekly sales meetings when appropriate.
Leads the revenue management meeting weekly.
Participate in Staff meetings.
Take a leadership role in positioning Sundance as an incentive destination. Establish a strong database of incentive clients and develop a marketing plan to open quarterly communication with each incentive house.
Manage representation firm relationships.
Maintain positive attitude and be morale leader among staff.
Support and adhere to all Sundance standards, policies and procedures.
Provide leadership among sales staff to incorporate sales strategies and directives.
Prepare Resort Sales and Marketing plan.
Prepare monthly management report showing lost business from the prior month, 12 month forecast and written summary of the prior month. This report is due by the 7th of each month.
Using iContact e-mail both group and leisure clients regarding specials at Sundance.

Additional Group Duties
Responsible for booking all destination weddings that include lodging.
Work closely with Sundance representation firms in all markets.
Carefully plan and execute sales trips to specified markets for the sales team.
Submit commissions for the sales team for payroll purposes monthly.
Responsible for all sales activity to be fully logged in Delphi System.
Responsible for full documentation of all Sales leads in Delphi System, including full name, address, title, email address, dates and space needed and all other pertinent information.
Responsible for timely follow up and documentation in Delphi on all leads.
Provides monthly group forecast to accounting.
Attends P&L meetings monthly and provides a write-up of the prior months results for each P&L meeting.
Consults resort software system to determine space availability for dates and times requested. Quotes rates and approves rates for other sales employees.
Prepares and executes contracts and reviews contracts of other sales employees as needed. Conducts site inspection for potential clients as needed.
Contact representatives of meetings, planners, government, business, associations and social groups to solicit business for resort.
Analyzes group requirements and outlines available hotel facilities and services offered and quotes prices.
Creates dynamic group packages to demonstrate interest in holding groups at Sundance.
Attends pre-conference meetings for all groups.
Leisure Sales Specific:
Positions Reporting under Leisure Sales.
Reservations Manager
3 full time reservationists.

Additional Leisure Duties
Determine the minimum nightly rate on a daily basis for leisure bookings.
Ensure that we maintain rate parity with all merchant models (Hotels.com, Expedia, Travelocity etc…) and third party representation firms (Virtuoso, Signature, AMEX FH&R, etc…)
Ensure that leisure rates do not dip below contracted group rates.
Rate shop other hotels to ensure our rates are in line. Once iRate comes online, will be responsible for iRate reporting.
Provide a yearly Leisure Pace to accounting once per month.
Evaluate call volume and productivity of the reservations department using NAVIS.
Listen to 3-5 reservations calls per week.

SUPERVISORY RESPONSIBILITIES
Directly supervises National Sales Managers and the Sales and Marketing Assistant. Responsibilities include interviewing, hiring, training employees; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems. Complete all applicable paperwork for the above responsibilities and submit to HR in a timely manner.
ENVIRONMENTAL COMMITMENT
Support and participate in environmental programs associated with position: minimizing waste, recycling, energy conservation, purchase and use of sustainable products, education on environmental ethic, support vendors with similar ethic, decrease pollution levels, minimize the use of toxic chemicals, restore wild life habitats.
DRESS CODE
Sundance recognizes the impact that our image has on the guest’s impression of the resort and the perception of our ability to provide professional service to our clientele. In order to best promote a positive, professional image that meets Sundance guest’s expectations, employees are required to dress in a professional, conservative fashion that is appropriate for their area. Please use the following as a minimum standard:
All aspects of the Personal Appearance policy (SPL#50) must be in compliance.
Operational managers are required to wear nametags at all times while on duty.
Clothing must be unwrinkled and clean, and in good condition (no rips, tears, or frays regardless of whether accidental or fashionably placed).
Blue jeans are permitted.
Men’s shirts must be tucked in.
Appropriate skirt length is from the knee to the ankle.
A tailored fit is required of all clothing.
Tank tops, halter tops tube tops, and spaghetti straps are prohibited.
Sleeveless shirts are permitted for females.
Bare midriffs are prohibited.
Proper footwear for your department is required.
Dress sandals are permitted for females.
Flip flops are prohibited in all areas.
Tennis shoes are prohibited unless there is a business need (ie: Mtn. Ops.)
If your department allows t-shirts, they must be in good condition and have appropriate Sundance logos.
If your department allows baseball caps, they must be in good condition and have appropriate Sundance logos.

EDUCATION and/or EXPERIENCE
Bachelor's degree (B. A.) from four-year college or university plus three consecutive years experience as a Director of Sales at a comparable resort; or equivalent combination of education and experience.
TECHNICAL/COMPUTER SKILLS
Proficient in Delphi, Microsoft, Springer Miller System.
CERTIFICATIONS, LICENSES, REGISTRATIONS
Must possess a valid U.S. Drivers’ License in good standing as determined by Sundance’s Insurance Company guidelines.
LANGUAGE SKILLS
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
MATHEMATICAL SKILLS
Ability to work with mathematical concepts such as probability and statistical inference, and fundamentals of plane and solid geometry and trigonometry. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
REASONING ABILITY
